All Student Athletes

Dear Parents and Guardians,

As part of HRCE’s Student Protection Policy, all volunteers who interact with students in settings that are not continuously supervised by HRCE teachers or administrators must complete a Criminal Records Check with a Vulnerable Sector Check and a Child Abuse Registry Search before volunteering. This includes coaches, drivers, classroom helpers, and trip chaperones.

Beginning December 1, 2026, parents or guardians who transport students other than their own child to school sporting events must have both checks completed.

Both checks can be completed under volunteer status. Please see the attached documents for the school letter confirming your volunteer status and instructions for applying.

1. Criminal Records Check with Vulnerable Sector Check
Please use the link below to apply:

Select Police Vulnerable Sector Check (PVS). This option includes the criminal records check. Please attach the school letter provided to qualify for the reduced volunteer rate.

2. Child Abuse Registry Search
This search is free of charge and can be completed online here:

Student Transportation Permission Forms
Until December 2, 2026, all student athletes travelling to school sporting events must complete the attached Student Sporting Event Transportation and Permission Form and submit it to the office on or before the day of the game.

**Extra copies of the Student Sporting Event Transportation and Permission Form are available from MS. Whyte. All information is posted to the school web-site as well.

If a student is being transported by someone other than their own parent or guardian, the parent or guardian must provide written permission on the form.

Thank you for your cooperation in helping us keep our students safe while participating in school sporting events. We appreciate your support and understanding as we implement these requirements.
